From Hours to Income: Key Insights on Automating Time Capture and Collections

CollBox Team
On December 3, 2025, MyCase hosted an insightful webinar as part of their “Unlocking the Power of MyCase Integrations” series. The session, titled “From Hours to Income: Automate Time Capture & Collections,” brought together four integration partners to demonstrate how law firms can streamline everything from passive time tracking to resolving past-due invoices.
CollBox’s VP of Business Development, Matt Darner, joined presenters from Billables AI, VXT, and Practice AI to share practical strategies for turning completed legal work into collected revenue. Here’s a comprehensive recap of the key takeaways, with a special focus on what CollBox brought to the conversation about accounts receivable and collections.
The Collections Challenge No One Wants to Talk About
Matt Darner opened his presentation with a truth that resonated throughout the virtual room: “No one started a law firm or joined a law firm to be a bill collector.”
It’s a sentiment that captures what many attorneys feel but rarely discuss openly. While firms invest significant resources in client acquisition, case management, and legal work itself, the follow-through on unpaid invoices often falls through the cracks—not because it isn’t important, but because no one wants to do it.
The numbers tell the story. According to data shared during the webinar, MyCase’s own legal industry report found that 68% of attorneys cite fee collection as a major hurdle impacting their firm’s financial wellness. And CollBox’s internal data reveals an even more urgent timeline: invoices that go just 90 days past due can lose nearly half their collectability—47%, to be exact.
“Time is not your friend,” Matt emphasized. “Collectability craters pretty quickly.”
Why Most Firms Struggle with AR
The root of the problem isn’t that firms don’t care about getting paid. It’s that small to mid-sized firms rarely have a dedicated, well-trained accounts receivable professional on staff. As Matt explained, these firms don’t typically have 40 hours of collections work each week—so hiring a full-time AR specialist doesn’t make financial sense.
But the alternative—having attorneys, paralegals, or office managers squeeze in collection calls between other responsibilities—creates its own problems. The work gets deprioritized, follow-up becomes inconsistent, and outstanding balances grow.
“The problem is that no one really owns it,” Matt noted. “And so invoices just sit there.”
A Hybrid Approach: Technology Meets Human Expertise
CollBox positions itself differently from both pure technology solutions and traditional collection agencies. Matt described the company as “a tech-enabled service” that combines sophisticated automation with trained human specialists.
Here’s how it works: When a firm connects CollBox to their MyCase account, the system automatically detects when invoices go past due based on the firm’s billing terms and frequency. From there, CollBox initiates a carefully calibrated outreach sequence.
The automation component includes templated email reminders that escalate gently over time. These emails resend the original MyCase invoice and include the firm’s existing payment links through LawPay—CollBox doesn’t touch the money or introduce a separate payment system.
The human component kicks in around day 10 to 14, when CollBox’s accounts receivable specialists begin making phone calls on the firm’s behalf. These aren’t offshore call center representatives reading scripts. As Matt described, they’re “all North American based, all native English speakers”—with Spanish-speaking reps available for firms that need them, such as those practicing immigration law.
What makes the approach distinctive is the emphasis on professionalism over pressure. “These are folks who’ve been AR managers, AR clerks, collection specialists for large businesses,” Matt explained. “They really know that white glove approach that’s gonna make your firm look great. It’s not hostile. It’s not aggressive.”
The Results Speak for Themselves
The combination of consistent automation and skilled human follow-up is producing measurable outcomes for CollBox’s partner firms. During the webinar, Matt shared two key statistics:
- Firms using CollBox are getting paid 40% faster on average
- Small to mid-sized firms are seeing an average of $66,000 recovered per month from CollBox’s efforts
Beyond the financial impact, Matt highlighted an equally important benefit: the emotional relief that comes from no longer having to chase payments personally. “It’s a little harder to quantify,” he acknowledged, “but the emotional satisfaction of not having to chase these things yourselves is important.”
Transparent, Flat-Fee Pricing
Unlike traditional collection agencies that take a percentage of recovered funds, CollBox operates on a flat-fee model. Monthly service starts at $599, based on firm size and billing volume. Firms keep 100% of everything CollBox helps recover.
The barrier to entry is intentionally low. The first three months are month-to-month with no long-term contract required—what Matt called a “love it or leave it” approach. For firms with older outstanding accounts that need cleanup, CollBox offers project-based work at 3-5% of the dollar amount being pursued.
As Matt put it, this represents roughly “one-fifth or one-sixth the cost of hiring someone” at market rate for an AR clerk.
Seamless MyCase Integration
A major theme throughout the webinar was how these tools work together within the MyCase ecosystem. CollBox’s integration with MyCase, announced earlier this year, brings proven AR solutions to 15,000+ law firms using the platform.
The integration allows firms to maintain full control over which clients CollBox contacts. Firms can filter by practice area or responsible attorney, and they can lock individual clients who shouldn’t receive collection outreach—VIPs, special circumstances, or sensitive situations.
Every action CollBox takes on a firm’s behalf is logged in a detailed timeline within the CollBox dashboard, and the team notifies firm administrators about significant developments like disputes, billing errors, or updated contact information.
